How to Quote Corporate Events as a Band or Musician

Corporate events pay well — but only if you quote them correctly. Here's what corporate clients expect, what to charge, and how to present it professionally.

Corporate events are some of the best-paying gigs on the calendar — and also some of the most under-quoted. Bands that normally charge $1,500 for a pub function will quote the same for a corporate dinner that requires three hours of performance, formal attire, a 2pm load-in and a midnight bump-out. The work is different; the quote should be too.

What Corporate Clients Are Actually Paying For

Corporate clients are not just paying for live music. They're paying for reliability, professionalism, flexibility, and the assurance that their event won't be derailed by a no-show or a volume complaint. That premium is real and should be reflected in your pricing.

Unlike pub and bar gigs, corporate events often have strict timing requirements, dress codes, and performance briefs. Factor in the planning time, any briefing calls with the events coordinator, and the extra logistical complexity into your quote.

Line Items to Include in a Corporate Quote

Break your quote into clear line items: performance fee (including the number of sets and duration), equipment provision if you're supplying PA or lighting, travel allowance, any additional musician costs if the client wants a larger ensemble, and GST. Some bands also charge a "corporate rate" surcharge — a straightforward addition to your base fee for corporate bookings.

Corporate events coordinators appreciate itemised quotes. They're often submitting your quote to a finance department for approval — a detailed breakdown makes that process easier and signals you run a professional operation.

How to Use Dashplan's Quote Helper for Corporate Gigs

Dashplan's Quote Helper lets you set your playing rate, standby rate, travel rate and add-ons in settings, then build any quote in minutes. For corporate gigs, add a line item for your corporate rate premium, enter the playing hours, and the total calculates with GST included. When the booking is confirmed, push the quote straight to the Gig Manager to start tracking income and generate the invoice.

Negotiating Corporate Rates

Corporate clients will often push back on price — not because they can't afford it, but because negotiating is standard practice in the events industry. Know your floor price before you send the quote. Be prepared to hold firm, reduce scope (fewer sets, smaller ensemble) rather than reducing margin, or offer a package that justifies the full price with extra value (MC time between sets, song dedications, extended set).
