How to Track Client Details Across Multiple Gigs

Returning clients are the best clients. To make the most of a returning relationship, you need to remember things — and that requires notes.

Returning clients are the best clients. They already know your band, they trust you, and booking them again involves a fraction of the admin of acquiring a new one. But to make the most of a returning relationship, you need to remember things — and that requires notes.

What to Track About Each Client

Contact name and details are the obvious start. Beyond that: how they found you, what kind of event it was, any specific requests they made, how the gig went, and any notes about working with them.

Did they pay promptly? Did they have last-minute requests? Were they particular about the setlist? This information is gold when the same client comes back to book you for next year's event.

Why Memory Isn't Enough

In a quiet period, you might deal with two or three clients at a time. In a busy season, it could be ten or fifteen across overlapping timeframes. Your memory will let you down.

Good notes mean you can pick up the conversation as if no time has passed. You can reference their previous event, ask about something specific you noted, and demonstrate that they're not just a name in an inbox.

Keeping Client Notes in Dashplan

Dashplan's Notes tool lets you create and tag notes by client. Link the note to a gig record and search by client name to pull up everything at once. Your client relationships become something you actively maintain rather than hoping your memory holds up.
