How to Write a Professional Band Quote Email That Converts

A quote email is often the first impression a client gets of how professional your band is. Here's what to include and how to structure it for the best response.


Most band quote emails look like this: "Hi, thanks for your enquiry. We charge $X. Let me know if you want to go ahead." That's a price, not a quote — and it doesn't give the client enough to make a confident decision. A professional quote email is structured, detailed, and makes it easy to say yes.

The Structure of a Good Quote Email

Start with a brief acknowledgement of what the client told you: the event type, the date, the venue. This shows you actually read their enquiry. Then move into the quote itself: what's included, the itemised fee, your GST status, and your payment terms.

Close with a clear next step: "To confirm the booking, we require a 30% deposit by [date]. The balance is due [timeframe] before the event." This removes ambiguity and moves the conversation forward.

What to Include in the Quote Itself

The quote section of the email should include: the event date and location, the number of sets and their duration, equipment included (if you're providing PA or lights), your fee ex-GST, the GST amount, the total inc-GST, deposit amount and due date, and balance payment terms.

If you're including optional extras — a ceremony set, lighting upgrade, an additional musician — list them separately so the client can add or remove them.

Tone and Professionalism

Write the email the way you'd want to receive it. Clear, friendly, specific. Don't pad it with unnecessary language or oversell. Clients comparing multiple bands are making a quick assessment of professionalism from how you communicate — a clean, organised email does as much selling as any previous experience.

Avoid abbreviations, slang, or casualness that would undermine confidence in your reliability. This is a professional service transaction, and the email should read that way.
