How to Create a Gig Invoice in Dashplan
A step-by-step guide to generating a professional tax invoice from any logged gig — from your first log to a PDF ready to send.
Dashplan generates gig invoices from your existing gig records, so you're never re-entering information. Here's the complete walkthrough from logging a gig to having a professional invoice ready to send.
Step 1: Set Up Your Invoice Details
Before you generate your first invoice, add your details in Gig Manager → Settings. This is where you enter your ABN, business name, bank BSB and account number, payment terms, and contact details. These fields appear automatically on every invoice you generate — you only need to enter them once.
You can also set your preferred invoice theme here. Dashplan offers five themes — Modern, Classic, Minimal, Bold and Studio — each producing a different visual style on the same professional layout.
Step 2: Log the Gig
In Gig Manager, click "Log Gig" and fill in the details: date, venue, client name, fee, and whether GST applies. If you have band members to track, add them and their rates at this point.
The more detail you enter here, the more complete your invoice will be. The service description on the invoice is drawn from the gig title and venue fields, so "Gareth's 50th Birthday — The Windsor" produces a clearer invoice description than leaving those fields blank.
Step 3: Generate the Invoice
From your gig list, click the invoice button on the gig you want to invoice. Dashplan opens the invoice preview, populated with all your gig details, your ABN, your payment information, a sequential invoice number, and the correct date.
If GST is enabled on the gig, the invoice automatically shows the ex-GST fee, the GST component (10%), and the total including GST — formatted to meet ATO tax invoice requirements.
Step 4: Review and Save as PDF
Check the invoice preview. If anything needs adjusting — the description, the date, the client name — you can edit the gig record and regenerate. When it looks right, click "Print / Save PDF."
Your browser's print dialog opens. Select "Save as PDF" as the destination and save the file. The layout is print-optimised at A4 size and renders cleanly in all major browsers.
You now have a PDF invoice ready to attach to an email to your client.
Step 5: Mark as Paid When Payment Arrives
When the client pays, go back to the gig in your Gig Manager and mark it as paid. This updates the payment status in your gig list and removes the gig from your outstanding invoices view.
Dashplan also supports partial payments — if a deposit has been paid and the balance is still outstanding, you can reflect that in the payment status so your records stay accurate throughout the process.
Your Invoice Is Stored With the Gig
Every invoice generated in Dashplan is linked to the gig it was created from. If a client asks for a copy six months later, open the gig record and generate the invoice again — same invoice number, same details, same PDF. No files to track down.
